Storing event equipment: Protecting your materials and investment

Event equipment is an investment. Furniture, signs, exhibition stands, technical equipment and production materials are often used repeatedly. Yet storage is sometimes considered only after the event has finished.

That can be costly.

Incorrect storage, missing records and poor handling can cause damage, unnecessary replacement purchases and delays when equipment is needed again.

Event storage is more than floor space

When choosing storage for event equipment, the price per pallet space is only one part of the calculation.

It is just as important to examine how materials are received, recorded, stored and released.

A good storage process should include:

  • Recording equipment on arrival.
  • Clear labelling and locations.
  • Storage suited to the materials’ requirements.
  • Opportunities for checking and preparation.
  • An agreed procedure for collection and returns.

This provides an overview and reduces the risk of materials disappearing between productions.

Protect equipment between events

Event equipment is often transported, unpacked, assembled and packed away many times.

Storage must therefore account for wear and the different properties of materials.

Furniture may need protection against scratches and pressure damage. Electronics may require particular temperature and humidity conditions. Signs and graphics often need storage that prevents bending or damage.

Clarify which storage conditions the provider actually offers.

Access when the event needs it

Events do not necessarily follow normal opening hours.

A production may begin early in the morning, and materials may need to return late in the evening or at weekends.

Warehouse access should therefore be part of the agreement from the start.

Can equipment be collected outside normal opening hours? Must it be booked in advance? What happens if production is delayed?

Flexibility does not necessarily mean unrestricted access around the clock. It means clear arrangements that suit the reality of the production.

When storage and transport work together

A warehouse works best when it is planned together with transport.

Packing and preparing materials in the right order can save time during loading, delivery and building.

At Mano Solutions, collaboration between Mano Warehouse and Mano Logistics is central to the idea of connected event operations.

The aim is simple: equipment should be ready when production needs it.
