What does event storage cost, and what should you consider?

Event storage is more than floor space

After an event, materials, furniture and equipment need to move on. Some items will be needed again quickly. Others need checking, repacking or longer-term storage. Choosing event storage therefore involves more than the cost of a pallet space. It also depends on how easily equipment can move safely into and out of the warehouse.

What affects the price?

The total storage cost typically includes several elements:

  • Storage: How much space does the equipment take up, and how long will it stay?
  • Receiving and handling: Do materials need counting, labelling, sorting or repacking?
  • Preparation: Does equipment need picking and preparing for the next production?
  • Transport: Who handles collection, delivery and any return transport?
  • Special conditions: Is equipment fragile, awkward to handle or dependent on particular storage conditions?

A low storage rate can quickly become less attractive if every collection requires additional coordination or unexpected handling hours.

Five questions before choosing storage

  1. Can the provider record what is stored so you know what is available?
  2. Who is responsible for checking equipment condition when it arrives and leaves?
  3. How quickly can materials be prepared for a new event?
  4. Are handling, transport and any minimum charges clearly described?
  5. Can the storage arrangement adapt when the number of events changes?

Warehouse access when the event needs it

Events rarely follow normal working hours. The build may begin at five in the morning, and breakdown may finish long after midnight.

It is therefore important to find out whether the storage provider can make materials accessible when needed, including outside normal opening hours.

For example, ask:

  • Can we collect and return materials in the evening, at night and at weekends?
  • Does access need to be booked in advance?
  • Can the warehouse accommodate urgent changes?
  • Is there an additional charge for access outside normal opening hours?
  • Can transport and handling be coordinated with the event schedule?

Event storage should support production, rather than restrict it.

From storage space to better planning

A well-managed storage process creates an overview between productions. It reduces the risk of ordering materials you already own and makes the next delivery easier to plan. For venues and event agencies running repeated productions, this benefit can be as important as the price per pallet.

At Mano Warehouse, we see storage as part of the overall event operation. Together with Mano Logistics, storage, preparation and transport can form one connected process, depending on the specific agreement.

Tell us what you store, how often it is used and where it needs to be delivered. We can then discuss a solution suited to your actual operation.
