How many staff does an event need? Planning your team

How many staff does an event need?

Two events with the same guest numbers can have very different staffing needs. A conference with concentrated arrivals and registration requires different staffing from a reception where guests arrive throughout the event.

Staffing should therefore start with what will actually happen, when it happens and where staff need to be, rather than guest numbers alone.

Start with the guest journey

Review the event from arrival to departure. Where will guests register? Is there a cloakroom? Do they need guidance between rooms? Do breaks involve many people moving at once? Who helps if something changes?

Making tasks visible makes it easier to allocate functions and identify potential bottlenecks.

Plan for peak demand

Average activity does not tell the whole story. Many events have short periods when staffing needs rise sharply, such as opening, lunch, breaks and closing.

A good staffing plan therefore shows both baseline cover and the times when extra people may be needed.

Five questions before booking staff

  1. How many guests are expected, and how are arrivals distributed?
  2. Which specific tasks will staff carry out?
  3. How many entrances, rooms and service points are in use?
  4. When are the busiest periods, and how long do they last?
  5. Who leads the staff and decides on changes during the event?

Include briefings, breaks and handovers

The staffing plan also needs room for introductions, necessary breaks and handovers. If every hour is planned solely around guests being present, there may be no time for the tasks that hold event delivery together.

The right team is not necessarily the largest

The aim is to have the right skills in the right places when demand arises. A considered plan can improve the guest experience without staffing every function at maximum capacity all day.

Mano Hospitality can contribute to planning hosts, registration, cloakrooms, guest information and other service functions so staffing supports the event’s actual flow.
