What do event staff cost? What to consider when comparing quotes

What do event staff cost?

When a venue, event agency or organiser requests event staffing quotes, the hourly rate is often the first comparison. But the lowest hourly rate is not necessarily the lowest-cost solution.

The total price depends on factors including the staff’s tasks, how long they need to work and how much coordination the assignment requires.

Five things to check

1. Which tasks are included? A registration host, a cloakroom attendant and a technical crew perform different tasks. Describe the functions specifically so quotes can be compared.

2. Is there a minimum booking? Ask about the minimum hours per staff member. A short assignment may still be charged as a longer shift.

3. Which supplements apply? Evenings, nights, weekends, public holidays, transport and short-notice changes can affect the total. Ask for a clear overview of any additional charges.

4. Who handles coordination? Clarify who receives changes, ensures attendance and manages sickness or delays. This work needs doing whether or not it appears as a separate line in the quote.

5. What introduction do staff receive? They need to understand the task, contact person and relevant instructions. Good preparation reduces the risk of misunderstandings during delivery.

Compare total costs as well as hourly rates

Ask suppliers to quote against the same staffing plan. Then compare the total price, hours, any supplements, responsibility for coordination and options for adapting staffing.

This provides a more accurate basis for decisions than an isolated hourly rate.

Staffing multiple functions

An event may need hospitality, crew, logistics and security. It can be useful to explore whether one partner can coordinate several functions. This is not automatically cheaper, but may clarify planning, communication and responsibility.

At Mano Solutions, the conversation starts with the assignment and overall event delivery. The aim is staffing that suits the guest experience, operations and budget.

Have your staffing plan reviewed before comparing quotes.
