Festival staffing: Creating a good experience for guests and staff
People shape the festival experience
Audiences remember the music, atmosphere and sense of community. Their experience is also shaped by the people welcoming them at the entrance, giving directions, helping at the cloakroom or resolving a problem before it grows. Festival staffing therefore involves more than filling shifts. It means positioning the right skills at the right posts at the right times.
Start with the guest journey
Map the journey from arrival to departure. Where is the need greatest for welcoming, information, queue management, bar service and practical help? Assess demand at opening, programme transitions and closing. A staffing plan should follow guest movements rather than allocating a fixed number of hours to each post.
Give staff a shared understanding
A good briefing should answer five questions. What is my task? Who is my immediate contact? Where do I refer questions? What do I do when something changes? When should I ask for help? This creates confidence, especially when different teams and suppliers work together.
Remember conditions behind the scenes
Long days, changing weather and late finishes require realistic breaks, access to water, suitable facilities and a relief plan. Tired staff find it harder to maintain an overview and give guests their full attention. Staff working conditions are therefore also part of the guest experience.
A simple checklist for organisers
- Is staffing planned around peak demand?
- Are roles defined between hospitality, security and production?
- Is there a responsible contact for each team?
- Have breaks, relief cover and schedule changes been considered?
- Does everyone know how to escalate incidents and guest enquiries?
Bringing functions together
Mano Hospitality can form part of a coordinated plan with Mano Security and Mano Crew. The benefit lies in clear interfaces between functions, rather than everyone doing the same tasks. Guests should experience one coherent event, even when many specialisms work behind it.
