Multiple suppliers at one event? Improve coordination and reduce misunderstandings

Multiple suppliers at the same event?

An event may involve technicians, hosts, security staff, transport providers, caterers and venue staff. Every supplier may be good at its own task, but that is not enough if nobody understands how those tasks connect.

Challenges often arise at the handovers. Who opens access to the loading ramp? Who knows the schedule has changed? Who tells the hosts that the doors will open later than planned?

Five ways to make collaboration easier

1. Appoint one person responsible for overall coordination. All suppliers need to know who makes decisions when changes affect several functions.

2. Create one shared schedule. Include the key milestones for delivery, building, briefings, guest arrivals, event delivery and breakdown.

3. Describe the interfaces. Record where one supplier’s assignment ends and another’s begins. This is particularly important for access, material handling and changes to rooms.

4. Agree communication routes. Who contacts whom, and how are urgent messages handled? A short contact list and clear decision-making route can save many calls.

5. Finish with a joint review. Record what worked, what caused delays and what needs changing next time.

Fewer suppliers is not an aim in itself

What matters is whether collaboration works, rather than the number of suppliers. Some events need many specialists. Others may benefit from bringing several tasks together with one partner.

A combined service can simplify responsibilities and coordination, but only if the provider has the skills and capacity for the assignment.

From individual assignments to ongoing collaboration

When the same parties work together over time, experience can become better instructions, more accurate schedules and clearer expectations. This is an important benefit of long-term relationships and framework agreements.

Mano Solutions works across hospitality, security, crew, logistics and warehouse services. The aim is to connect these functions so the client has fewer loose ends and a clearer overview of delivery.
